Shipping Note
A shipping note that explains how CNC machines, spindles and accessories should be packed, labelled, inspected and signed off on arrival in South Africa.
How the Shipping Note helps on a dispatch week
Shipping Note explains how CNC machines, spindles and accessories should be packed and checked for local delivery. It covers labelling, inspection and sign-off on arrival so damage or missing parts are picked up while the handover is still fresh.
A proper shipping note starts with the exact contents of the consignment. List the CNC machine, spindle, controller, clamps, collets, cables and loose accessories as separate entries so the receiver can match the crate to the paperwork when it lands in South Africa. Weight, crate count and any fragile lifting points should be visible before dispatch.
Photographs matter most before the lid is closed. Take clear images of the machine fixed inside the crate, the accessory box, the exterior labels and any shock or tilt indicators if fitted. On arrival, those images give the receiver a fair reference before anything is unpacked or signed for.
Crate checks before dispatch
The note should tell the receiver what to inspect first while the driver is still there. Call out damaged corners, punctures, wet timber, broken straps and missing cartons, then record whether the crate was accepted cleanly or signed with remarks. That written trail helps when freight damage is raised after handover.
Keep crate photos, collection details and any packing issues found before uplift together. If extra accessories are travelling separately, say which box they are in and label them against the same order record. Send updates with the consignment reference, delivery town and any visible transit concern.

Arrival checks for South African deliveries
Freight can move through ports, depots and long road legs before a machine reaches a workshop in Gauteng, the Western Cape or KZN. That is why the shipping note must mention if the crate must stay upright, remain dry or be opened only by the consignee. Small omissions on the paperwork often become missing parts disputes later.
Coastal deliveries need extra attention where salt air and damp can mark bare steel or packaging. Inland sites often deal with dust, forklifts on rough yards and receivers who must inspect quickly before returning to other shop work. A short, specific note makes it easier to check the machine properly while the handover is still current.

What to record on receipt
Send the shipping note with crate photos, collection timing, and any transit or packing concerns already picked up. Keep the subject line clear and factual.
Write down the date, time, crate condition and the name of the person who accepted delivery. Note any shortages, bent panels, cracked cable glands or opened accessory bags on the document itself, then keep it with the machine file. That record is useful when installation starts and something does not match the packing list.
