Handoff Template
A handoff template for CNC installs and deliveries, so machine details, tooling, checks and owner responsibilities are recorded clearly.
How the Handoff Template fits a machine delivery week
The Handoff Template gives installers and owners a clear record for a desktop CNC delivery or setup. It helps capture machine details, tooling, checks and owner responsibilities so nothing important is left to memory after the install.
Use the Handoff Template to record the machine exactly as delivered: model, controller, spindle or trim router fitted, collet sizes, and the tooling handed over on the day. Add what was tested on site, such as MDF surfacing, acrylic engraving, or a light aluminium pass, plus any power or extraction limits seen at the bench. South African workshops differ widely between inland dust, coastal corrosion, and shared garage spaces, so those notes matter later.
Take photos before the first owner run and attach them to the handoff record. A clear image of cable routing, spoilboard condition, limit switch position, and the controller screen helps when someone needs to confirm whether a setting changed after delivery. Keep one copy with the machine paperwork and another with the workshop job files.
Delivery record that stays useful
This template captures what was supplied, what was demonstrated, and what still sits with the owner after installation. Include cutter types, clamp method, zeroing approach, maintenance points, and any items not available on the day, such as a dedicated dust extractor or surge protection. The result is a handover note that can be checked months later without relying on memory.
Complete the Handoff Template with machine photos, the install address, and the names of the people present during setup. Note any missing accessories, software login steps, test cuts completed, and owner actions still outstanding before regular use. Include the machine serial reference and the delivery date in the message.
- Machine serial, controller, and fitted spindle
- Test cuts logged with material used
- Owner sign-off and outstanding actions
Checks that matter in SA workshops
Power quality, plug type, and extension lead use should be written down during handover, especially where power-cut backup or shared circuits affect machine starts. Bench rigidity also needs a note, because a desktop CNC on a light table behaves differently from one fixed to a heavy stand. If the install is at a school, studio, or small production room, record who is responsible for cleaning, lubrication, and safe shutdown.
Coastal workshops need extra attention on rust prevention, bare steel tooling, and how machines are covered when not in use. Inland spaces often fight fine MDF dust, so the template should note extraction fitted, shoe setup, and how often rails and lead screws must be cleaned. Where aluminium is being cut, add the coolant or air-blast method discussed and any chip-control limits seen on site.

What to capture before sign-off
Use the handoff template with machine photos, delivery timing, and anything picked up during testing. Keep the subject line clear and factual.
Fill in the template before the installer leaves the bench area. Record the homing check, emergency stop test, spindle direction, spoilboard condition, software connection, and the first successful file run. That gives the owner a usable baseline for future maintenance, troubleshooting, and repeat setups.
